Director of Operations

STAR Building Services is a janitorial and eminence company serving office properties and residential communities in NJ. We are seeking a Director of Operations to serve and represent STAR Building Services in performing all duties to ensure compliance with its contracted services. We are an exciting young company on a fast growth track.

The Director of Operations will be responsible for the supervision and quality control program to ensure that our custodians are adhering to the specifications of our contracts. This person will be build strong relationships our clients assuring their complete satisfaction with our services. He/she will oversee our area managers to ensure the following areas are performed:

1. Total overall responsibility to ensure complete compliance with the specifications of this contract.
2. Daily contact with your building manager for information giving and information gathering.
3. Response to problems, complaints and resolution thereof.
a. Investigation of the causes of problems, complaints and solutions to prevent reoccurrence.
b. Counseling of employees, supervision in regard to their work performance.
c. Suggestions on how to produce better results.
4. Training of employees, and supervision on all phases of STAR Building Services cleaning procedures. Proper chemical dilutions and use of that product. Properly selecting the right chemical for the job function that is to be preformed. What is expected from the client regarding the level of cleanliness. Proper instruction for the operation of the machinery that the employees will be using. Instruction on proper preventative maintenance of machinery to ensure all equipment is in good operating condition at all times.
5. Responsible for the accuracy of all paper work used in conjunction with the operational administration of this contract to include but not limited to scheduling, time frames for work completion, payroll time sheets, quality control follow up forms, employee attendance records, project completion sheets, etc.
6. Perform unannounced building inspections. This inspection shall include daily random sampling of unspecified rooms, areas, etc. The Area Manager will take any necessary steps to ensure compliance with the contract.
7. Responsible for enforcing all company policies. Hiring new employees. Firing of employees. Disciplining employees.
8. Responsible for direct contact with area managers for reporting the status of equipment, supplies, employees, quality control, daily operational events, suggestions/input, problems, client satisfaction/dissatisfaction, contract changes, etc.
9. In-service training (continued education) will be provided to all management personnel and employees. It will include a review of all topics and areas in the orientation training program. It shall provide training for the purpose of updating and for correcting deficiencies in individual performance found as a result of STAR Building Services quality control program, or supervisory review.

Experience in theoperations of a building services company and a history of developing and maintaining relationships within our industry is a definite plus. GENERAL DESCRIPTION: The Director of Operations is a support to the Vice President of Operations and President of Pennrose Management Company. SPECIFIC DUTIES AND RESPONSIBILITIES:
• Assist in the review, development and implementation of company policies and procedures.

• Assist in coordination of training and staff development.
• Review and submit approvals for purchases and/or contractual services for sites on the Watched List.

• Conduct periodic site visits to evaluate the progress and/or needs of properties within the portfolio.

• Along with the Director of Maintenance, review and forward contracts with comments to Vice President of Operations.
• Provide input to Training Director for ongoing training for site staff regarding program changes and Pennrose Management Company Polices and Procedures.
• Review and approve all expenditures per stipulated amount.
• Coordinate marketing strategies through the PMC Marketing Director.
• Monitor apartment turnover to insure that vacancies are filled as quickly as possible.
• Advise Regional Property Manager on difficult management issues.
• Monitor financial operations (MOR, receivables, payable) to insure compliance with the budget.
• Develop as needed strategic plans for enhanced performance within the portfolio.
• Assist in the preparation of the Annual Operating Budget and review of Monthly Operating Reports, Variance Reports and Reforecasts.
• Act as liaison between Vice President of Operations and Regional Property Managers.
• Participate in pertinent meetings involving building/property concerns.
• Along with the Compliance Department, ensure Tax Credit Compliance.
• Perform regular staff evaluations and coordinate staffing vacancies/personnel issues with The Human Resource Department.
• Set the overall tone for the portfolio.
• Conduct regular meetings with staff and be available for management meetings with Vice President/and/or Executive Team.
• Coordinate and provide new development needs with PPI.
• Set and monitor Financial and Operational goals.
• All other duties and responsibilities as assigned.

PRE-REQUISITES:
• 3+ years experience as a Director of Operations in a multi-family environment. Prefer an emphasis on affordable housing.
• 2+ years past experience as a Regional Property Manager in a multi-family environment.
• Low Income, Tax Credit, and/or HOPE 6 experience a plus.
• Excellent customer service skills.
• Self-motivated and hard-working.
• High-energy and commitment to high performance in a busy, multi-task work environment.
• College Degree preferred but not required.
